That first reply goes out as a WhatsApp template message the moment the request comes in — a short, pre-approved acknowledgment, not a chatbot pretending to solve the problem. The thread then bridges into a support ticket in the shared inbox automatically, so the request has an owner, a status, and a record, instead of living only in someone's WhatsApp app on a personal phone.
This is the part that actually changes daily operations: the acknowledgment doesn't wait for the manager to be free. The follow-through — scheduling a plumber, checking back in — still takes a person, but the tenant isn't left wondering if the message even landed.
The same three questions, answered before they become a ticket
Most inbound WhatsApp messages to a small rental operation aren't emergencies. They're repeats: when is rent due, who do I contact for maintenance, what's the office's hours. When water needs to be shut off for a morning in one building, or an elevator is going out of service, every tenant in that building needs to know — not every tenant across the whole portfolio. Contacts are segmented by building and unit, so the broadcast goes to exactly the list that's affected, with delivery and read tracking on the campaign so the manager can see who's actually seen the notice rather than assuming.
That segmentation is what keeps broadcasts from turning into noise. A tenant in Building B never gets a notice about Building A's plumbing, which means when a message from the property manager does arrive, it's read instead of skimmed and ignored.
Handling it from the property, not from a desk
A property manager who is physically walking a unit — checking on the leak, meeting the plumber — isn't going to open a dashboard to send an update or dig up a receipt.
